    Our client in Berkeley, CA is seeking for an Administrative Assistant. As the Administrative Assistant, you will play a vital role in supporting the smooth operation of our training department. You will be responsible for a variety of administrative tasks, including overseeing invoice documentation, providing assistance to their team, coordinating courses and events, and maintaining records. The ideal candidate is highly organized, detail-oriented, and thrives in a collaborative environment.

    Key Responsibilities

    • Oversee the monthly invoice documentation process with meticulous attention to detail.

    • Provide administrative assistance, including managing the training department's email account and handling customer service tickets.

    • Collaborate closely with the Training Team to ensure efficient workflow and program delivery.

    • Assist in course coordination, scheduling, and sending event reminders.

    • Support pre and post-training events, including setup and breakdown.

    • Maintain accurate records of training data and generate reports as needed.

    • Assist with registration using various platforms and conduct online marketing initiatives.

    • Manage Continuing Education submissions to governing boards.

    • Serve as a liaison with external stakeholders to provide information and support.

    • Handle contract records and monthly invoicing for trainers and clients.

    • Support new hire onboarding activities and assist with large event coordination.

    • Contribute to the documentation of processes and policies within the Training Department.

    • Perform other duties as assigned by the supervisor.

    Requirements

    Qualifications

    • High school diploma or equivalent; Bachelor's degree preferred.

    • Advanced use of MS Office Suite (Word, Excel, Power Point)

    • Proven experience in an administrative role, preferably in a training or educational setting.

    • Excellent organizational and time management skills.

    • Strong attention to detail and accuracy.

    • Proficiency in Microsoft Office Suite and online registration platforms.

    • Excellent communication and interpersonal skills.

    • Ability to work independently and collaboratively in a fast-paced environment.

    • Flexibility to adapt to changing priorities and deadlines.
